These Terms and Conditions outline the working agreement between you (the client or parent/carer) and the practitioner (the integrative counsellor). By booking a session, you confirm your agreement with these Terms.

1. About the Practitioner
The term “practitioner” refers to the individual providing counselling services. As an integrative counsellor, I draw from a range of therapeutic approaches (including but not limited to person-centred, psychodynamic, cognitive-behavioural, and creative methods), tailored to the individual needs of each client.

I am a qualified counsellor, registered with the professional bodies BACP and UKCP

I hold Professional Indemnity Insurance and an enhanced DBS certificate.

I work within the ethical and professional guidelines of my accrediting organisation.

I regularly engage in clinical supervision to ensure safe and ethical practice.
2. Referrals and Suitability

I may not accept a referral if the client’s needs fall outside my scope of practice.

I may discontinue therapy or decline to provide written feedback or reports if:

There is a significant breach of agreement (e.g., repeated cancellations or inappropriate behaviour).

The work appears no longer to be beneficial or ethically appropriate.

The client’s presenting needs require a different type of support (e.g., specialist intervention or diagnosis).

3. Confidentiality and Safeguarding
Confidentiality is central to the therapeutic process. However, there are legal and ethical limits:

Information shared in sessions is kept confidential, except in the following situations:

If there is a serious risk of harm to the client or others.
-
If there is a safeguarding concern involving a child or vulnerable adult.

If required by law (e.g., court order, terrorism, or serious crime).

In such situations, I will always aim to discuss the need to break confidentiality with you first, where appropriate.
Client records are kept securely and in compliance with GDPR and data protection legislation.
4. Parental / Carer Responsibilities
Where counselling is offered to children or young people under the age of 18:

A parent or legal guardian must provide written consent for therapy to begin.

You are responsible for providing accurate, up-to-date information, including:

Medical conditions

Diagnoses

Educational needs

Family circumstances

You agree to inform me promptly of any changes that might affect your child’s wellbeing or participation in therapy.

Children or parents should not attend if unwell with a contagious illness.
5. Fees and Payment

Session fees will be agreed upon at the time of booking.

Payment is due via bank transfer or approved payment method at the end of each month.

Invoices will be issued via email.
Late payments:
-
A reminder will be issued if payment is not received on time.

Payments overdue by more than 30 days may incur a £30 late fee.

Continued non-payment may result in cancellation of further sessions or use of a third-party collection service (additional charges may apply).
6. Cancellations and Missed Sessions

Minimum 48 hours' notice is required for cancellations or rescheduling.
-
Sessions cancelled with less than 48 hours’ notice (or missed entirely) will be charged in full.

In exceptional circumstances (e.g., medical emergency), the cancellation fee may be waived at my discretion.

Consistent cancellations may lead to a review of the ongoing suitability of therapy.
7. Reports and Letters

Written reports, summaries, or letters are not included in the session fee and may be requested for an additional charge.

Reports are provided at the practitioner’s discretion and reflect professional observations only.

It is the parent/carer’s responsibility to ensure any external service (e.g., GP, school) will accept a private report. No refunds will be offered if a report is declined externally.
8. Complaints and Feedback
If you are dissatisfied with the service:

Please raise your concern directly with me as soon as possible so I can try to resolve the issue.

If we are unable to resolve the matter, you may contact my professional body (e.g. BACP) to make a formal complaint. An external process will then be followed.
9. Refund Policy

As each session involves preparation and reserved time, refunds cannot be issued for missed or cancelled sessions (unless otherwise agreed in exceptional cases).

Refunds are not given for therapy already delivered.

In the rare event that I am unable to provide a session (e.g., illness), a full refund or rescheduling will be offered.
10. Privacy and Data Protection

All personal and therapeutic information is kept confidential and stored securely.

Records are kept in line with GDPR and the Data Protection Act (2018).

You have the right to request access to your records and request corrections where needed.

11. Online Services
Where sessions are conducted online:

It is your responsibility to ensure a safe and private space for sessions.

Sessions will not be recorded by either party unless specifically agreed in writing.

Technical failures may occasionally occur. If a session is disrupted due to technology, I will do my best to reschedule or continue via another method (e.g., phone).
12. Changes to Terms
These Terms and Conditions may be updated occasionally. You will be informed of any significant changes in advance.
